Capture the inquiry accurately.
Record the service interest, source and minimum contact information. Confirm that the request is durably stored before displaying success. A click on the submit button is not proof of receipt.
Assign the next action.
Every legitimate inquiry needs a responsible owner and review date. Failed notifications must be visible to the operator; an email provider accepting a message is not proof that the responsible person saw it.
Qualify for the actual offer.
Establish relevant need, geography, timing, decision path and capacity fit. Distinguish a genuine inquiry from a qualified opportunity instead of counting every record as a sale.
Confirm real appointments.
Use actual availability and provider confirmation. Track requested, booked, cancelled, rescheduled and attended meetings separately.
Connect proposals to decisions.
Record scope, value, version, owner and next follow-up. Separate open proposals, signed agreements, invoices and collected payments.
Preserve customer preferences.
Honor contact choices, marketing consent and suppression across systems. Existing-client support should not enter a prospect campaign.
Review the bottleneck.
Look at qualified opportunities, meetings held, proposals, wins, collections and delivery margin. Improve the stage with evidence of friction rather than adding more advertising by default.
